Thanks for those minutes Luke, Gav I would like to meet to discuss the boat purchase plan.

The problem is that there was no indication that we were planning on buying boats or that it would be an agenda item for the meeting. This means that anyone in the club who wanted to be involved in helping make a decision, make suggestions etc. could only do so after the committee had made up its mind - without any opportunity for input from the club.
If we are trying to achieve a more open committee then I feel this is something that should be changed. It has been great that people have been asked if they had any items they want to contribute this is a step in the right direction. However, for items like the boat purchase that werent an external suggestion, how can people decide they want to attend the meeting for a particular item if the agenda is not available for them to see (obviously with sensitive information censored)

If it is possible to discuss this item before we make the purchase I would love to meet up but if its already too late then please keep this in mind in future, ye are a great committee.

p.s. The same could be said about how boats are allocated, while it may be at the discretion of the committee or quippy, in the past the method was voted on by the people going. again, not something that is obligatory but its more inclusive of the club to give people that chance so perhaps is worth considering.

We had an item called "Spending Money" on the agenda. It was put on the agenda thread on the committee page so I apologise that nobody else saw it and knew about it. Maybe I can get Luke to post up future agendas on the main forum a few hours before the meeting just so everyone knows what's going to be discussed( with the sensitive issues omitted of course).

With boat and gear purchases etc, its difficult to gauge who to include in the decision making. We have a lot of people on the committee who have experience with different gear and boats so they have a good idea of what would be best for the club. In the case of the Lettmann, it was discussed and we decided a Mamba 8.6 would be a better club boat. Most of the time, the decisions don't need more people because the discussion just goes around in endless circles and no decisions are made. It's not that we don't value club members opinions; we really do, but a group of 20 of us could have sat in that meeting all night and still not made a decision on what boats to buy. This was our last meeting of the semester and before the budget too so the money had to be spent. The order has already gone in to I-Canoe so I don't think we can make any changes to it.

In the case of the boat allocations, we decided to let everyone choose preferences just like last year so that people have at least some input into what they would like to paddle.

I completely understand, thanks for the quick and thorough response. I just wanted to give ye some feedback from an outsiders perspective to help ye with your goal of being open committee and accessible to all members. Roll on alps 2k14!! :D
